Technology Considerations

Bus roadeos are increasingly incorporating emerging technologies that improve operational efficiency, accuracy, transparency, and the overall participant experience. Technology is a valuable tool, but it can present a learning curve, particularly for individuals who are less familiar or comfortable with its use. To ensure successful implementation and participation, training on each technology solution should be provided in advance of the event. Examples of technology solutions are referenced below:

Electronic Registration Platform

The use of electronic registration platforms helps streamline the management of participants, judges, and volunteers. These systems allow participants to register online, select their vehicle class, and submit required documentation in advance of the event. Organizers benefit from real-time participant tracking, automated confirmations, reduced administrative burden, and improved communication. These platforms also help ensure accurate rosters and more efficient event planning.



However, it should be noted that not all participants or agencies have the same level of access to technology, which can create barriers to participation if low-tech registration options are not available. Internet access may not be available for all potential participants. In addition, there are cost and resource considerations associated with implementing these systems. Adoption may require financial investment, staff time for setup and ongoing maintenance, and potential support from the Information Technology (IT) department or external vendors.

Drone Footage

The use of drone technology and associated footage is emerging as a valuable technology solution. Aerial footage provides a comprehensive view of obstacle layout, traffic flow, and participant performance. Recorded footage creates a useful archive for post-even review, training, improvement in course design, and in marketing and recruitment materials. Access to drone equipment and securing meaningful footage requires a high level of planning, trained personnel, reliable equipment access, and significant post-event effort. For many event organizers, these demands can be a limiting factor unless strong logistical and resource support is in place.

Recent examples of the use of this technology solution are included below:

Electronic Scoring Platform

Another major advancement is the use of electronic score sheets and digital scoring systems. Instead of relying on paper forms, judges can enter scores directly into tablets for each obstacle and event station. These systems can automatically calculate penalties, aggregate scores across stations, and calculate scores in real time. As a result, electronic scoring reduces the risk of calculation errors and enhances transparency for both participants and organizers. One of the greatest advantages is the significant reduction in time between the completion of the competition and the announcement of results, allowing winners to be determined and announced almost immediately. 


While electronic scoring platforms can improve accuracy and efficiency in event scoring, this solution requires careful planning and consideration. Reliable and stable Wi-Fi or internet connectivity is essential, which can present challenges in rural or remote locations. Device malfunctions or connectivity interruptions may also delay scoring or disrupt operations if contingency plans are not in place. To ensure consistent and fair scoring, organizers should establish backup procedures and provide training for all users prior to the event. 



Cost is another important consideration, particularly for smaller events. Expenses may include purchasing tablets or mobile devices for each scoring station and course vehicle, investing in software platforms, and covering licensing or ongoing service fees. Equipment selection is also critical, as devices must be durable enough to withstand environmental conditions such as rain, sand, heat, and cold. In addition, screen visibility can become problematic in direct sunlight, especially when screen protectors are used. 


Operational procedures should be carefully designed to minimize scoring errors and ensure reliable data collection. Each scoring station should ideally have a dedicated individual responsible for entering data into the electronic system, while an on-site technical support person should be available to troubleshoot issues, maintain communication with the scoring team, and ensure all stations remain connected to the central database. Some event stations may also require modified procedures. For example, the passenger assistance station includes numerous verbal and physical evaluation steps, making it difficult for judges to accurately observe participants while simultaneously interacting with a device. In these cases, using a paper score sheet during the evaluation and assigning a separate individual to enter the data electronically afterward may improve both accuracy and efficiency while still supporting centralized digital scoring.
